This policy explains how Equara Partners ("we", "us", "our") collects, uses and protects personal information through this website and in providing accounting services to businesses and professional firms. We provide services from India to clients located primarily in Canada.
Website enquiries. When you fill in our contact form we collect your name, email address, phone number, firm name, firm size, the service you're interested in and any message you send.
Client data. When a firm engages us, we process personal information about that firm's clients (for example names, addresses, social insurance numbers, income and financial records) only on the firm's instructions and for the purpose of the agreed services. In that role the engaging firm remains responsible for the information and we act as its service provider.
Technical data. Our website and hosting provider may collect standard data such as IP address, browser type, pages visited and cookies used for site operation, analytics and advertising measurement.
We collect and use personal information with your consent, to perform a contract with you or your firm, or where required by law. Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and India's Digital Personal Data Protection Act, 2023, you may withdraw consent at any time, subject to legal or contractual limits.
Our team is based in India, so information you or your firm share with us will be accessed and processed outside Canada. While in India it is subject to Indian law and may be accessible to Indian authorities under that law. We protect it through contractual confidentiality obligations, restricted access and the safeguards described below.
We do not sell personal information. We share it only with service providers who help us run our business (such as website hosting, email and scheduling tools) under confidentiality obligations, with the engaging firm, or where required by law.
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including confidentiality agreements, role-based access, password-protected workstations and secure remote access to client systems. No method of transmission or storage is completely secure, but we work to protect information against loss, theft and unauthorised access.
Enquiry information is kept for as long as needed to respond and follow up, and for up to 24 months afterwards unless you ask us to delete it sooner. Client data is kept only for the duration of the engagement and then returned or deleted as agreed with the engaging firm, unless the law requires us to keep it longer.
You may ask to access, correct or delete personal information we hold about you, or to withdraw consent. If your information was provided to us by an accounting firm, please contact that firm first; we will assist them in responding. You also have the right to complain to the Office of the Privacy Commissioner of Canada.

We are not a public accounting firm and do not issue audit, review or compilation reports or provide assurance. Where we support an accounting firm, that firm is responsible for reviewing our work, for its professional judgements and for any filings or reports issued to its clients. Business clients remain responsible for the accuracy of the information they give us and for approving filings made on their behalf.
Content on this site is general information about our services. It is not tax, legal or accounting advice and should not be relied on as such. We try to keep it accurate but do not guarantee it is complete or current.
Submitting the contact form does not create a client relationship. Any proposal we send is an invitation to agree terms and becomes binding only when both parties sign an engagement agreement.

Work product prepared for a client firm belongs to that firm once paid for, as set out in the engagement agreement.
